Job Description: ***PLEASE INDICATE POSITION NUMBER AND BASIS FOR ELIGIBILITY ON STD. 678.*** Methods of appointment to be considered will include transfers and reinstatements. Applicants must have civil service eligibility. All applications will be reviewed; however, only the most competitive candidates will be interviewed. “Salaries will be adjusted accordingly to comply with the provisions of the current furlough program”. Responsible for performing clerical functions such as typing, filing, taking dictation, and similar tasks for the Health Care Manager (HCM). Receives, researches, and processes confidential and sensitive departmental/program issues, including correspondence. Prepares correspondence and reports for the HCM’s signature. Prepares hiring documents, to include scheduling hiring interviews. Receives and distributes incoming mail. Responsible for reviewing incoming/outgoing correspondence for grammar, content, accuracy, and adherence to appropriate format. Develops and maintains a tracking system for pending projects/assignments. Coordinates Health Care Services (HCS) projects such as annual duty statements, and performance evaluations. Answers and screens incoming telephone calls and visitors, making decisions when appropriate to provide information, or procedure guidance; or when necessary refers to appropriate staff member for response. Responsible for interacting with departmental officials and government agencies, providing appropriate referrals and/or knowledgeable responses regarding HCS, and department policies and procedures. Direct inquiries concerning the progress of medical cases to appropriate staff. Records and maintains minutes of the HCM’s Quality Management Committee. Maintains minutes for all HCS meetings (i.e., Peer Reviews, Medical Executive Committee, etc.) Maintains the HCM’s appointment calendar and arranges intricate and complicated travel itineraries providing options, alternatives, schedules, accommodations, and problem resolution. Prepares and completes travel advances and travel expense claims. Responsible for providing clerical support to the Chief Medical Officer in the absence of the Office Technician. Prepares monthly payroll and audit time sheets for HCS staff. Additional Information:
