Job Description:
Under the general direction of the Regional Administrator (RA) and/or Regional Medical Director (RMD), Southern Regional Administration, the Administrative Assistant II performs a variety of administrative tasks with a high degree of independent responsibility. The incumbent is expected to work both independently and in a group environment, to maintain a high degree of initiative, and to interact professionally with those encountered during the course of work.

Duties include, but are not limited to:
Acts as a personal assistant to the RA and/or RMD by performing a wide variety of administrative duties. Assesses and reviews daily operational procedures. Reviews and evaluates proposed changes in policy and legislation. Provides recommendations regarding new policies and procedures. Assists in implementing and monitoring approved recommendations. Reviews, analyzes and processes various administrative assignments regarding Southern Regional Administration and Southern Region institutions. Independently prepares and distributes administrative reports and written correspondence for the RA and/or RMD's signature. Coordinates with associated management as necessary. Takes the initiative in organizing tasks and recognizing the steps necessary for successful completion. Keeps management informed when problems are encountered or assistance is needed.

Responsible for answering telephone calls for the RA and/or RMD and directing calls as appropriate. Tracks incoming and outgoing correspondence. Independently responds to correspondence which may be related to staff disciplinary maters or other confidential, sensitive issues. Refers complex issues to appropriate staff on behalf of the Regional Administrator. Researches, compiles and analyzes data to prepare required monthly reports for the California Prison Health Care Services (CPHCS).

Maintains the RA and/or RMD's appointment calendar. Schedules appointments when needed. Organizes meetings with parties such as Northern and Central Regional Administration staff, Southern Region institution staff and CDCR executive staff. Sets meeting agendas, identifies participants, coordinates with participants to select meeting dates and times, and reserves meeting locations. Makes travel arrangements and prepares travel expense claims for the Regional Administrator.

Responds to various requests from legal representatives, the Office of the Ombudsmen, CPHCS, and the Attorney General. Works in conjunction with the Regional Administrator to research and compile requested data into written correspondence and reports. Maintains legal correspondence files.

Drafts written responses to inmates' family members, attorneys and other parties who inquire about an inmate patient’s medical care or medical condition. Ensures that the release of any medical information is in compliance with Health Insurance Portability and Accountability Act (HIPAA) regulations and institutional policy.

Coordinates compliance with mandatory CPHCS and CDCR training for Southern Regional Administration and institution staff. Monitors which training courses staff has attended. Issues reminders to those who have not met training requirements. Performs other duties as required.

Prior experience in the healthcare industry preferred.

Must have eligibility from a current Administrative Assistant II Certification list or be a current or former State employee with transfer or reinstatement eligibility to this classification.

Salaries will be adjusted accordingly to comply with the provisions of the current furlough program.
