Job Description:

This advertisement is for the current vacancy and possibly any future vacancies. ***This position may possibly become permanent in the future*** Per Executive order #S-13-09, issued 7/1/09, the salary listed is subject to pay reduction of 13.85% to facilitate the three furlough days named in this order, which is subject to end 6/30/10. Duties: Under the general direction of the Personnel Supervisor I, this is the advanced journey level which regularly performs a variety of the most difficult duties and is expected to consistently exercise a high degree of initiative, independence and originality in perofrming assigned tasks. Positions at this level regularly require detailed and sensitive public contact and/or independent origination of correspondence involving the knowledge and application of detailed regulations, policies and procedures. Good judgement and ability to communicate effectively is of primary importance at this level. Duties include work within the Personnel Post Automated Unit System (PPAS). Acts as back-up to the Personnel Receptionist as needed. Other duties as assigned. Review, audit, input, file and maintain daily custody FLSA sign-in/out personnel time records utilizing a personnel/personal computer program, PPAS. Retrieve data and compile various reports for Personnel and Management. Respond to staff inquiries. Post daily, attendance usage such as: sick, overtime, vacation, annual leave, holiday, swaps, and etc. for custody staff into PPAS accurately. Audit FLSA sign-in/out sheets for signatures, and appropriate use of pay codes. Return copies of incorrect FLSA sheets to WOTS Sergeant for corrections. Provide a FLSA Tracking List to SSM/IPO and management indicating missing FLSA sheets. Run, review, and audit Time Entry Error reports, code usage reports, timesheet summaries, PIP overtime reports and make corrections as necessary. Work very closely with Personnel Specialists preparing accurate leave usage and overtime pay for custody employees. Prepare billing report and Time Expenditure Management System (TEMS) report for Accounting, Managment and Headquarters. Print 998-As and route to Accounting for Paydays. Mail out to employees 998-A's who are out on workers comp/sick/leave of absence. Pick up from drop boxes 998-A's daily. When received back from employees, audit 998-As for signatures and appropriate document attachments and required notations and then clear markers in PPAS. If errors are on 998-As, notate and give back to Personnel Specialists. Print and give delinquency letters to Personnel Specialists along with absent all codes listing. Type and route Delinquest 998-A memo to all management. Research and respond to inquiries by Personnel staff, custody staff, and management. Make corrections if necessary and then give to Personnel Specialists. Assist employees over the phone or at the counter with regards to their timekeeping issues. Complete FLSA correction form, correct in PPAS and give to Personnel Specialists incoming FLSA corrections on a flow basis. After corrections are complete, make copies on discs of archived months for Staff Assignment Office to update for custody rainbows. Back up Personnel Receptionist during her absences, lunches, and breaks and as needed through the day. Process live scans and ID cards as needed. Reponsible for the confidentiality of employee information. Performs other duties as assigned.
